Student Management Systems Specialist

Summary

Will support the full spectrum of customer service duties relative to records management, parental engagement and enrollment logistics.

Essential Duties and Responsibilities

An employee in this position may be called upon to do any or all of the following essential functions. These examples do not include all of the duties which the employee may be expected to perform. Visit schools to audit records.

Maintain all student records in a way so as to meet the requirements of the legal, financial and administrative departments (i.e., IEP, preschool, transcripts, etc). .

Support the ongoing implementation and maintenance of records and reports that are contained on paper, computer, microfilm and other media for Dayton Public Schools.

Participate in regular conferences or training with school-based and departments to ensure compliance with the organization’s practices, procedures and policies.

Advise senior management on continuous improvement efforts related to student records.

Complete forms, questionnaires and other necessary documentation to enroll students.

Document activities, and preparing correspondence, reports and other documentation necessary for the operations of the student enrollment center.

Maintain ongoing knowledge of all school options in Dayton Public Schools.

Coordinate training and support for district personnel working in the Student Information System.

Collaborate with EMIS coordinator in managing student data for state reporting.

Maintain accurate documentation for all student system functions, procedures and oversee the dissemination of updates to all users.

Train trainers and end users in utilizing advanced features components of the Student Information System.

Monitor adherence to quality control and standards.

Attend district meetings, as appropriate, to incorporate enrollment process changes and updates.

Manage the district sponsored charter school processes and timelines.

Verify enrollment of home school, charter and district sponsored charter school students.

Other duties as assigned.

QUALIFICATIONS

Requirements

Must be a U.S. citizen or have the legal right to work in the U.S.

Verifications

Associates degree required; Bachelor’s degree preferred

Experience working with parents and community partners.

Ability to speak multiple languages (i.e. Spanish, Russian, Turkish, Swahili, African, etc.) is considered an asset.

Knowledge and Experience

Demonstrates a working knowledge of Dayton Public Schools policies and procedures.

Ability to type 50 WPM.

Proficient in Word, Excel, PowerPoint, Access, Vizio, Adobe Form Central, Adobe XI, Survey Monkey, and School Messenger.

Thorough knowledge of business procedures, practices and terminology.

Excellent oral and written communication skills.

Ability to meet deadlines and execute multiple priorities.

Work is performed throughout the district and in a standard office environment.

Occasional operation of a vehicle under inclement weather conditions.

Occasional interaction with unruly people.

Travels to meetings/professional development and work assignments.

PHYSICAL ATTRIBUTES/DEMANDS

The employee is frequently required to sit, reach, handle/ grasp objects and occasionally required to stand, walk, lift, stoop, kneel, crouch, and crawl. Ability to walk, run, climb, crawl, or stand for extended periods of time.

The work occasionally requires eye/hand/foot coordination.

Occasionally lift, carry, push, and pull various items up to a maximum of 40 pounds (100 pounds on wheels).
