Purpose:

The Human Resources and Talent Sr. Advisor will be responsible to assist MENAT HRBP on manpower planning, orientation, performance management, career planning, succession planning, formulation of policies and strategies. They will be responsible for all Employee data maintenance and HRIS ensuring that all records are accurate and up to date. The incumbent must have a thorough knowledge and understanding of local Labour laws and be confident to manage employees’ queries in accordance with their employment contract. The role is responsible to incorporate Pearson’s Diversity, Equity, and Inclusion principles in everything we do.

Key Accountabilities include:

Talent Acquisition (TA) – Partner with central TA team and Hiring Managers on Recruitment and Selection decisions

Partner in Hiring Process

  • Source for potential candidates from local Turkey job portals (as needed), conduct interviews and make recommendations to Hiring Managers (as required)

  • Ensure the hiring processes are carried out with Pearson’s Diversity, Equity, and Inclusion principles as a key guiding point

  • Ensure Offer Letters are compliant and guide the TA team on pay ranges and internal equity

  • Ensure /coordinate with the third party to facilitate work permission applications, if necessary.

  • Maintain and ensure compliance of all recruitment administration policies and procedures i.e. Taleo, Kariyer.net, LinkedIn

  • Maintain / Update Job Descriptions and ensure sharing the same are updated in the Job Description repository.

HR Generalist Responsibilities – responsible for all aspects of human resources work in areas including payroll, benefits, compensation, employee relations, labour relations, organization development, change management, and personnel management.

Onboarding

  • Trigger the new hire background checks and liaison with PPS for results and adjudication

  • Compile all new starters documents and upload in Fusion in Oracle Document Management System

  • Coordinate with IT and request mycloud Log in information

  • Coordinate with payroll team to add the employee in SSI system and local payroll.

  • Coordinate with related teams for devices, company car, office equipment, laptop, company credit card, mobile allowance, etc.

  • Enroll the new joinee / dependents (as required) with medical insurance

  • Ensure to work with the Line Manager to identify a buddy, introduce the buddy and the new joinee

  • Publish the new joinee announcement in Neo (internal system) and send employee communication through the Middle East, HR

  • Partner with Line Manager to design 4 week’s induction program

  • Conduct DAY 1 HR orientation introducing the employee to Global Pearson, Local Pearson, policies, Programmes and share the induction schedule for the upcoming 4 weeks

  • Monitor the induction progress throughout the initial 4 weeks

Compensation and Benefits

Payroll

  • Informing the Payroll team about the compensation changes, additions, deletions in the relevant month before the cut-off date. Process One-off payment/deduction /additional allowances, Discretionary Bonuses/ Spot Awards etc.

  • Calculate and process End of Service payments for Leavers

  • Monitoring and ensuring 100% payroll accuracy, ensure issues and grievances (if any) are resolved timely

  • Controlling and Quality check of all finalized payroll data before payment; Providing monthly approval to process payroll and sending the payment approval and file to the bank system

  • Coordinating the payroll process with third party agencies for the agency employees and the finance team about payroll control

  • After the salary payments are made, attach the relevant report in the compulsory Individual Pension and Automatic Enrollment System and share the Electronic Funds Transfer (EFT) approval with the finance team. Upload the relevant 2 reports – One for the newcomers and the other for those who continue in the system)

  • Manage the private pension deductions for new hires for the first 2 months and employees who wish to continue after 2 months.

  • Sharing the current report of the Private Pension and Auto Enrollment System before the cutoff date with the payroll team.

Medical Insurance Administration

  • Working on annual remarketing efforts and get new offers from the broker company for the renewal of the medical insurance contract process.

  • Negotiating on the company’s behalf for the health benefits such as health insurance coverage, and disability insurance.

  • Getting approval for the selected insurance company by HRBP, Country Director, and Finance Director.

  • Coordinate with the broker company for a smooth transition from one vendor to another

  • Ensure the distribution of a new health insurance table of benefits for all the enrolled members

  • Administer the registration of new members, Administer the deletion of exiting members

  • Coordinate with the Finance team for updates.

  • Monitoring and attending to settle any health medical benefits issues and grievances

  • Communicate/ establish medical resources that support our current provided health initiatives and EAP programs.

Annual Salary Reviews / Off cycle Salary Reviews / Bonus Plan Administration

  • Support the HRBP with the reward data readiness exercise, ensuring all employee information is accurate and updated in the HR Fusion systems

  • Run reward data reports to quality check employee data, salary information, grades, bonus details, etc. and complete ASR/bonus payment validation exercise

  • Help/ Post any related promotions / contractual changes within MYHR for the shared service team to create letters

  • Download reports/ letters and ensure to compile these reports in one drive for future reference

  • Provide related support in terms of data analysis, Fusion process to the Line Manager

  • Work with Line Manager/HRBP for the issuance of annual SIP Letters (Target) and Achievement letters

  • Coordinate best practices initiatives such as share plans, training, and salary benchmarking

Employee Relations

  • Operating with discretion and judgement, individual will provide primary support and lead on employee relations and compliance issues as they arise

  • Address employee requests and potential issues (e.g. grievances)

  • Attend grievance meetings as required/ proxy the HRBP if required

  • Work closely with the HRBP for delivering /closing any PIP, disciplinary cases

  • Consult with staff and managers regarding employee relations issues and initiate action plans to address and resolve issues

  • Coach and advise staff and managers on matters regarding conflict resolution, relationship building, and effective communication

  • Coordinate with legal counsel and business boards as needed in regard to employment-related legal matters and policies

  • Assist managers with the preparation of performance assessments; Following performance assessment program including dissemination of communications, coordinating with training team on staff and manager trainings and resources, and 100% completion rate with HRBP Manager.

  • Assist with and advise managers on disciplinary action procedures, coaching, counseling, and documentation

Policies and Procedures formulation

  • Supporting the HR Manager in the development, implementation, and monitoring of policies and procedures based on relevant legislation and contemporary HR management practices which provide an effective, consistent, and timely delivery of HR services to support organizational needs.

  • Provide personnel policy and procedure guidance to employees and management.

  • Maintain up-to-date knowledge of federal and state employment law and compliance requirements.

  • Periodically review the policies to ensure they are relevant with local law and market practice

  • Interpret award entitlements terms and conditions in changing workplace environment, analyze market trends, and suggest policy improvements

  • Work on the yearly holiday calendar and holiday announcements at the start of the year. Follow up with holiday announcements in advance of the upcoming holidays and timely informing employees

  • Work/support with updating of HR Handbook and organizational chart

Employee Data and HRIS

  • Maintain an updated HRIS for all Turkey employees

  • Maintain an updated starter and leaver tracker

  • Maintain the Attrition Report and analysis

  • Publish all the above data in the shared drive on a monthly basis

  • Maintain physical/ online personnel records

  • Reporting on accurate electronic metrics relating to Employment, Service, Pay, Sick Leave, Vacation, Salary Letters, Certificates, and any associated areas of responsibility.

  • Create monthly, quarterly, annual HR dashboards

Workforce Planning and Op Planning

  • Support HRBP and business leaders with staffing and promotion needs during the annual budgeting process

  • Support HRBP to collate/ update employee data for budgeting purposes

  • Work with HRBP and provide inputs to Finance for hiring forecast for next year during the Op Planning exercise

Employee Engagement

  • Support and maintain the employee engagement programs and initiatives that support organizational goals and culture.

  • Research and work with vendors and other departments to build employee engagement initiatives.

  • Strategize and develop plans and programs for staff retention efforts with HRBP Manager

  • Manage the communications and format of town hall meetings

  • Help and support administer recognition programs and opportunities like Wow awards

  • Plan, organize Fun @ work sessions – Birthday celebrations, Women’s Day, etc.

Relationship Management with HR Shared Service – Pearson People Services (PPS)

  • Act as a direct point of contact for PPS

  • Handle meetings and discuss any issues and further developments for the process transitioned

  • Identify the transactional processes which can be transitioned to PPS and initiate the project with the project team in PPS

  • Attend monthly Relationship meetings to review PPS performance scorecard regarding the accuracy, TAT and highlight issues, and provide feedback as necessary for improvement

Offboarding

  • Create termination calculation / seek approval from HRBP

  • Getting support by local lawyer according to exit type and giving advice to HRBP and related parties about local laws for necessary situations

  • Coordinate with the employee and Line Manager regarding the exit formalities

  • Terminate the medical insurance

  • Inform the related departments and stakeholders about the exit process to trigger different department related exit steps

  • Ensure a return of all company issued equipment

  • Publish the Exit announcement (on NEO and Middle East HR email)

Learning & Development – Setting a curriculum strategy and content that supports the execution of employee goals, develops the knowledge and skills of employees, uses a cost-effective, engaging delivery approach, and delivers high levels of engagement in learning and development

L&D Activities

  • Partner with the business to understand business learning needs and design performance-based solutions

  • Help business leaders to provide employees with development opportunities.

  • Develop strategic and operational plans to achieve results and ensure alignment with company goals and objectives through training and development initiatives

  • Analyze data to determine trends, areas for improvement, and educational opportunities and recommend and/or implement appropriate strategies

  • Partner with Training team on the deployment of training needs assessments and collaborate on training activities and special projects

  • Organizing annual Learning at Work Week for Turkey with the guidance from HRBP according to global guidelines

  • Tracking and Following up on Personal Development Program with Leaders for their team.

Qualifications

Essential

  • 6-7 years’ experience within an HR Generalist Role

  • Bachelor’s degree or related field or equivalent experience in HR.

  • Excellent written and oral communication and interpersonal skills with the ability to develop relationships and communicate with staff at all levels of an organization.

  • Fluent English & Turkish speaker

  • Great attention to detail, ability to work under deadlines in a fast-paced environment.

  • Broad understanding of HR and pay regulations in Turkey

  • A flexible approach to work, professionalism, and enthusiasm to succeed in the field of HR management

  • Ability to maintain confidentiality

  • Experience and competency in HRIS a must; proficient in MS Office Suite

  • Knowledge of Oracle HCM Preferred
