Purpose of the position:
The operations Coordinator is responsible for overseeing and coordinating Human Resources, Operational Finance, and Corporate Finance functions of the organization. The role ensures efficient internal operations, compliance with local regulations and donor requirements, and supports the organization’s strategic and financial sustainability.
Scope
The Operations Coordinator reports to the Head of Finance and is responsible for supporting and coordinating financial, and HR-related functions across the organization. S/he will ensure compliance with organizational policies, Turkish regulations, donor requirements, and internal procedures. The Operations Coordinator must work in compliance with Islamic Relief policies and procedures.
Main Duties and Responsibilities
Human Resources Management
- Oversee recruitment, onboarding, and staff offboarding processes.
- Ensure compliance with Turkish labor law and internal HR policies.
- Manage employee records, contracts, leave tracking, and performance evaluation processes.
- Support organizational structure development and staff capacity building initiatives.
- Handle employee relations and internal communication processes.
- Coordinate HR documentation and maintain confidentiality of staff records.
Operational Finance Management
- Coordinate financial processes related to internationally funded projects and grants.
- Ensure compliance with donor regulations and reporting requirements.
- Work closely with international partners and donors regarding financial matters.
- Monitor project budgets, expenditures, and financial reporting timelines.
- Support audits and financial reviews related to internationally funded projects.
- Follow up donor financial compliance requirements and supporting documentation.
Corporate Finance Management
- Support budgeting, forecasting, and financial planning processes.
- Monitor cash flow, expenses, and cost-efficiency measures.
- Ensure compliance with Turkish financial regulations and NGO requirements.
- Coordinate with accounting and procurement teams on operational finance matters.
- Support management-level financial decision-making processes.
- Assist in preparation of financial reports and supporting documentation.
Governance & Reporting
- Report regularly to the Finance and corporate services manager on operational and financial performance.
- Assist supervisor to prepare reports and documentation for senior management and Board of Directors/Trustees when required.
- Ensure transparency, accountability, and proper documentation of operational processes.
- Maintain organized filing systems for operational, HR, and financial documentation.
General Responsibilities
- Ensure compliance with Islamic Relief policies and procedures.
- Coordinate with different departments including finance, procurement, HR, and programmes.
- Support organizational audits and compliance reviews.
- Carry out any other duties assigned by the line manager.

Requirements
- Bachelor’s degree in Business Administration, Finance, Human Resources, or a related field.
- Minimum 5 years of relevant experience in operations, finance, or HR management.
- Previous NGO experience is preferred.
- Strong knowledge of Turkish labor law and financial regulations.
- Experience with international donors and grant management is an advantage.
- Proficiency in MS Office and relevant operational/financial software.
- Fluency in written and spoken Turkish and English.
- Experience in foundation/association (vakıf/dernek) structures is preferred.
- Understanding of donor compliance requirements is considered a strong asset.
Additional Requirements
- This position is open exclusively to citizens of the Republic of Türkiye. Islamic Relief Türkiye does not provide support for work or residence permits.
- Residency in Istanbul is preferred due to the role’s operational requirements.
