Office Manager

Job Summary:

The Office Manager is responsible for front office duties related to answering the main switchboard, redirect calls as necessary, greets and handles the check-in process for all Masimo guests/clients/vendors, helps visitors/employees find office locations, and other Human Resources Administrative duties as needed. Helps visitors and new employees finding their way.

Reporting Relationships:

This job reports to: SVP, Software Engineering

Duties & Responsibilities:

  • Answers and routes incoming calls to the appropriate party; Presents a courteous, helpful manner to all callers and takes accurate messages when necessary;
  • Welcomes guests/clients/vendors that visit the office; Directs them to the proper contact and ensures they are comfortable while they wait;
  • Manages office suppliers and logistics.
  • Handles e-mails related to the office.
  • Enters supplier invoices into approval system for Mangers/Directors approval.
  • Orders and maintains office supplies and is the point of contact for outside vendors related to hospitality supplies;
  • Assists with travels and hotels, arrange accommodations and VISA for incoming guests
  • Provide assistance to Directors, Managers & Employees
  • Responsible of vacation & absences tracking;
  • Assists with preparation of company meetings & events
  • Provide HR assistance as follow: Recruitment process, arrange and coordinate candidates’ interviews for open positions, welcoming and onboarding of new employees; preparing all necessary security access for new employees & health insurance “if applicable”.
  • Additional responsibilities, duties or special projects as assigned or requested;

Qualifications

Qualifications:

  • At least two years of prior experience, as an office assistant;
  • Must have excellent communication skills;
  • Must possess ability to constantly reprioritize workload;
  • Must be a Team player with the ability to work in a complex organization;
  • Must be able to work in a high-paced environment, with frequent interruptions, and have the ability to multi-task;
  • Must have a Positive attitude and sense of humor;
  • Must be a self-started, and be able to work independently;
  • Computer proficiency with Microsoft Office suite (Outlook, Word, Excel and PowerPoint);
  • Fluent in local language. Any additional language is a plus

Education:

  • Preferable Engineering bachelor’s degree is a plus
