  • Act as the first point of contact for employees, visitors, and contractors, ensuring a professional and welcoming front desk experience.
  • Manage daily reception and administrative operations including meeting coordination, shuttle bus arrangements, courier services, document processing, and general office support.
  • Coordinate visitor registration, badging, and escorts in alignment with security procedures and site protocols.
  • Provide workplace and guest experience services such as refreshments, meeting support, wayfinding, lobby presentation, and office tours, ensuring a high-quality visitor experience.
  • Serve as an escalation point for routine reception and administrative issues; respond to inquiries and resolve problems through effective coordination with internal teams and external partners.
  • Maintain accurate records, files, inventories, and data management systems in line with operational requirements.
  • Prepare routine reports, summaries, and administrative correspondence in accordance with established policies and procedures.
  • Act as a liaison between internal teams, vendors, contractors, and visitors to support smooth daily operations.
  • Individual contributor role with no direct people management responsibility.
  • Perform other duties as assigned by the line manager.

Skills & Qualifications

  • Advanced level of English (written and spoken).
  • Excellent manners with strong professional communication and interpersonal skills.
  • Associate degree or an equivalent combination of education and relevant experience.
  • Minimum of 1 year of experience in a reception, administrative, or workplace support role.
  • Comfortable using office systems, visitor management tools, and basic data entry processes.
  • Strong interpersonal skills with a warm, approachable, and service-oriented demeanor.
  • Ability to assess situations, demonstrate empathy, and provide appropriate support to employees and visitors.
  • Ability to understand instructions, write routine correspondence, and prepare basic reports.
  • Capable of responding effectively to common inquiries or complaints in a professional manner.
  • Basic understanding of administrative and financial processes (e.g. simple calculations, percentages).
