For our operations in Türkiye, we are seeking a qualified, experienced, and dedicated Project Assistant to join our Project Management Unit in Ankara.

Position: Project Assistant

Location: Ankara, Türkiye

Reports to: Team Leader

 

Key duties and responsibilities:

  • Provide organizational, administrative and logistical support for an EU-funded project.
  • Run and maintain office accounts and ensure first-level administrative control of project expenses; assist in the preparation of financial reports.
  • Prepare, collect, and archive project documentation in line with EU and Ministry procedures; ensure all documentation is complete, properly stored, and retrievable.
  • Ensure accurate project correspondence and communication between stakeholders (Ministry officials, EU Delegation, Contracting Authority, consortium partners).
  • Interpretation and translation of documents and reports (Turkish ↔ English).
  • Assistance with the preparation, editing, and formatting of project reports and deliverables.
  • Maintain and organize project data in MS Office tools and SharePoint
  • Represent the project in the Ministry when needed and provide information to stakeholders independently.
  • Undertake travel (sometimes at short notice) to provide administrative support to project activities and meetings.

Required qualifications:

  • Bachelor’s Degree (preferably in Business Administration, Management, Communication, English Language, Office Management, or related fields).
  • Resident in Ankara.
  • Minimum 4 years of practical experience in a similar position, including at least 1 EU-funded project (experience in environmental sector projects is an asset).
  • Proven administrative and financial skills, including reporting and budgeting.
  • Turkish and English (spoken and written).
  • Proficiency in MS Office (Word, Excel, PowerPoint) and experience with SharePoint or similar digital archiving systems.
  • Strong organizational, archiving and multi-tasking skills.
  • Ability to work effectively within a public institution environment, following official protocols and procedures.
  • Excellent interpersonal and communication skills; ability to work both independently and in a multicultural team.
  • Strong time management, listening and note-taking skills.
  • Ability to work under pressure and meet deadlines.
  • Self-motivated, reliable and capable of representing the project alone at the Ministry when required.
