Administrative Assistant

Responsibilities: General Summary: The Administrative Assistant will provide administrative support to various departments in the office.

Essential Job Functions: *

  • Perform general administrative tasks for the designated team or department. This may include copying, scanning, faxing, emailing or binding activities.
  • Schedule and coordinate meetings.
  • May be responsible for making travel arrangements for the office or designated department. May also assist with estimating travel and related expenses for projects that are being proposed.
  • Lend support and assistance to executives in the preparation and editing of projects, speeches, client and employee events, presentations, and creating reports.
  • Communicate with clients or others as requested. Maintain confidentiality and professional demeanor in all communications.
  • Stay current with company rules and policies.
  • Create, proofread and/or format proposals, specifications and other correspondence to affirm adherence to company standards.
  • Assist with recruiting-related tasks such as posting jobs openings and reviewing resumes; as well as other personnel-related tasks such as maintaining annual leave records, processing expenses, private insurance, and rental cars, etc.
  • Communicate with manager/supervisor in a timely and proactive manner regarding workload and issues as they relate to the performance of job responsibilities.
  • May order meeting meals, flower arrangements/gift baskets for employees and clients.
  • Greet guests and provide refreshments when needed.
  • Coordinate with office staff in keeping the office organized and neat.
  • Provide reception area support by receiving and screening calls.
  • Perform related duties as assigned.

Qualifications: Education:

  • Bachelor’s degree is preferred, but not required.

Experience:

  • Minimum 2 years experience in an Administrative Assistant capacity.
  • Previous experience with an Architecture/Engineering or Construction firm is preferred, but not required.

Skills/Competencies:

  • Advanced skills in Microsoft Outlook, Word, Excel, PowerPoint, Windows, Adobe, Internet Explorer.
  • Excellent oral and written communication skills.
  • Positive and enthusiastic demeanor in a fast-paced environment.
  • Excellent organizational skills, detailed oriented and able to manage multiple projects.
  • Ability to work independently and on a flexible schedule.
  • Professional manner and approach.
