Technical Coordinator, Responsible Sourcing

Job Overview

The Technical Coordinator for the Responsible Sourcing Strategies program in the Food & Agriculture Division works with multiple projects including client-specific responsible and sustainable sourcing programs as well as other programs under development.

The primary responsibilities of the Technical Coordinator include managing administrative tasks related to communication with clients and auditors, onboarding auditors, organizing national and international audit logistics, reviewing and tracking auditor’s expenses, reviewing and approving auditor’s invoices, creating data tracking sheets in Excel and analyzing results, reviewing audit reports and audit-related documentation, organizing and developing trainings, supporting document and procedure development. The Technical Coordinator is also responsible for documenting and reviewing all of the aforementioned activities on an ongoing basis in the SCS database. This position reports to the program’s Technical Manager, works closely with auditors, and supports the Director.

Essential Duties and Responsibilities

Communications

Manage daily email and telephone/Skype/Zoom/Microsoft Teams communications in English and Spanish with:

Auditors based in Europe and Latin America

Clients based in Europe, Asia, Latin America

Audit Coordination and Planning

Ensure consistent flow of audit projects and conduct field observations as needed

Prepare audit plans and related audit documents and forms

Track and manage audit project milestones and deadlines

Prepare work orders and invoices for clients

Manage auditor schedules, workloads, and travel budgets

Plan audits and trip itineraries for staff and auditors

Carry out travel bookings and logistical arrangements, as needed

Review expense reports for staff and regional auditors

Conduct review of audit reports completed by staff auditors and regionally based auditors

Apply professional judgement on the quality of audit reports

Operations

Ensure program compliance with SCS quality system

Maintain new, existing, and archived program files in accordance with program requirements

Support Technical Manager to develop and edit program guidance updates, audit report templates, communications and letters as needed

Support Technical Manager and auditors to develop training programs and related materials as needed

Conduct desk-based and field audits as required (international travel might be required)

Research third-party auditing initiatives and responsible sourcing programs and prepare summary reports in support of RSS staff

Additional tasks as requested by the Director and Technical Manager

Qualifications

Must have strong proficiency or fluency in Spanish. Fluency in English required. Fluency or proficiency in other languages (Turkish, Bahasa, Italian, Portuguese, Mandarin, etc) desired.

Scope-specific work or study experience, and/or applied experience in agricultural or food production systems

1+ years’ experience in project management or administration

Excellent writing, communication, and customer service skills

Initiative and ability to work independently and use professional judgement; responsive and adaptive personality

Ability to complete time‐sensitive projects and to provide realistic deadlines

Excellent organizational skills and strong attention to detail required

Strong time-management skills

Experience with Microsoft Office programs including Microsoft Word, Power point, Outlook, and Excel. Advanced proficiency or Expert level with Microsoft Excel very desirable.

Education and Experience

Bachelors’ Degree in a related field (Environmental science, Sustainability, Agricultural or Food Systems, etc.) or equivalent work experience

Scope-specific work or study experience, and/or applied experience in agricultural or food production systems, international settings preferred

Experience with database management systems

Understanding of food labeling programs and certification initiatives preferred

Experience with third-party certification, ISO 9001 accreditation or similar preferred

Experience in quantitative and qualitative data collection and analysis preferred

Physical Requirements

This is an office-based job. Sit 6+ hours per day. Keyboarding 6+ hours per day. Must be able to lift and carry 20 pounds. Must be able to speak and listen in person and on the phone. Auditing may require international travel and extensive hours in the field. Must be able to walk and hike on rugged terrain and work in varying climates and outdoor environments.

Work Environment

Office primarily when not performing audits for clients

Agricultural field and food facilities during audits, and auditor assessment activities

Open agricultural fields and orchards

In close proximity to moving tractors, farm machinery, forklifts, and processing equipment

In and around pesticides and other processing and sanitation chemical storage facilities

Under temperature/weather extremes of high heat/cold, dusty and/or windy conditions

Travel with/in client vehicles to factory/farm often in rural areas
