Introduction

Please find enclosed tender for bedding units:

SARD is looking for suppliers for provision of Bedding Units which are to be distributed in the framework of supporting the emergency relief efforts, to the beneficiaries influenced from the humanitarian crisis in Syria.

SARD is looking for a supplier to provide 2000 Bedding Units in total, delivered in 1 shipment. anticipated over a period of 1 month (subject to change) stating from signing of the contract.

SARD expects the goods to be delivered to the warehouse in Sarmada, deliveries will be done in coordination with TRC (Turkish Red Crescent). The supplier should also facilitate the trucks after crossing the border. However, SARD reserves the right to change the delivery location or to request delivery to more than one location. The bedding units must be delivered to final agreed destination onto trucks provided by the supplier.

The expected delivery dates and quantities (subject to change and agreed between parties and with border authorities) are as follows:

The bedding units should contain items as describe below (Page 4 – 5, Product Specifications and Bill of Quantities). SARD will order through individual Purchase Orders.

Tender Conditions

  1. SARD is not bound to accept the lowest price but will also take into consideration several factors including quality of the products, supplier’s flexibility and experience, delivery time and other criteria.
  2. The quantity of the items listed in the specifications and in the bedding unit may change. They may increase or decrease as needed without incurring any change of the unit price of the items.
  3. SARD expects the goods to be delivered to SARD Sarmada warehouse – Syria. The bedding units must be delivered to final agreed destination onto trucks provided by the supplier.
  4. Prices should be submitted in TRY, offers should be valid for 1 month or until signing the contract.
  5. Prices should be comprehensive in that they include packing, loading, unloading, weighing, stacking, transport to the delivery point, insurance costs, and all Turkish Government taxes. The supplier cannot claim any costs not captured in the unit prices.
  6. In case of force majeure and the closure of the Turkish border, alternative solutions will be sought out with the supplier. Additional cost will be considered and agreed bilaterally.
  7. The time required to deliver the needed quantities from the order date should be written in the tender book.
  8. The supplier accepts to deliver the items with requested quantity and quality according to the requested specifications, as noted in the tender book.
  9. The supplier agrees to submit the actual prices in the tender book, based on the specifications in the Bill of Quantities template and agrees to hold these prices for the duration of the contract until the completion of the shipments if not indicated otherwise on page 5.
  10. If the bedding unit and its contents do not meet the specifications (composition and quality) and/or is damaged, it must be replaced at the supplier’s expense. If the replacement is not an option, SARD shall have the option to negotiate for a discount on any items non-conforming to the specifications.
  11. SARD reserves the right to alter, change, or terminate the contract at any time given that a Purchase Order has not yet been issued.
  12. Samples of all contents and packaging – a Bedding Unit – must be included with the tender book.

Payment

The signed contract will include 1 Purchase Order (subject to change).

Preferably 100% will be paid within 5 working days after the time of delivery of each Purchase Order.

Payments will be made in TRY by bank transfer referencing invoice number.

Packaging

  1. Bedding Unit should be packaged in maximum 3 pieces.
  2. Labels on packaging will be confirmed by SARD with Purchase Order, a logo and additional information will be requested to be included as part of packaging.

Certifications

  1. The supplier shall provide any available certificates for each sample item submitted for this tender.
  2. Please refer to Bill of Quantities and Product Specifications to this tender package for an explanation of exact and complete requirements for each item.
  3. Submitted samples will be verified by SARD.

Tender submission

  1. Tender submission deadline is Wednesday, FEB 5, 2020, at 17:00 Turkish time. Any offers received after the deadline will not be evaluated. Samples of the commodities must be submitted to SARD office together with the completed tender book.
  2. Suppliers must write the number and name of the tender and the name of the supplier on the sealed envelope.
  3. Suppliers must deliver the Tender Book and all relevant documentation in a closed envelope that is signed on the seal to SARD’s Office located at General Şükrü Kanatlı Mah. Atatürk Cad. No: 134, Kat: 4, D: 8, Antakya, HATAY.
  4. Only bids in sealed and signed envelopes will be considered.
  5. Samples must be submitted along with the tender book and labelled with supplier name and tender number.
  6. SARD reserves the right to reject any or all bids which do not respect the tender conditions.

Synthetic sleeping mats that are made from recycle materials must not contain fillers, like calcium carbonate or any other.

Dimensions: 150 x 200 cm ±3%.

Thickness: 3 mm minimum.

Weight: min 500 g/m2. Min 1.5 kg.

Color: no black, red, or white. Assorted dark colors.

Shrinkage: Maximum 5% after 3 consecutive machine washings at 30ºC and one flat drying.

 
Hasira/floor matMaterials: Warp: Pure virgin polypropylene (PP) multifilament 500 deniers minimum; Weft: Recycled polypropylene (PP) hollow tubes not containing any filler. Clean and net appearance.

Finish: The two short sides to be secured with a first stitch folded hem of the mat, plus one bias 40mm binding tape of minimum 10g/m with stitches through the fabric of the mat, OR with a double folded stitched hem. Four sides trim finished.

Size: 12 m2 minimum.

Weight: ~500 g/m² minimum, ~6 kg total.
